Role Summary: The HR Assistant provides administrative support to the HR department and assists with various HR-related tasks, ensuring efficient and effective HR operations. The role involves managing documentation, maintaining employee records, coordinating recruitment efforts, and supporting employee relations activities.
KEY DUTIES AND RESPONSIBILITIES.
    • Maintain and update employee records, ensuring data accuracy and confidentiality.
    • Prepare and manage HR documents such as contracts, policies, and forms.
    • Organize and maintain the HR filing system (both physical and electronic).
    • Assist in job postings, screening resumes, and scheduling interviews.
    • Support onboarding processes, including preparing orientation materials and coordinating with new hires.
    • Provide input and assistance in developing recruitment strategies.
    • Coordinate and schedule training programs and workshops.
    • Maintain training records and track employee development progress.
    • Assist in identifying training needs and proposing development plans.
    • Respond to employee inquiries regarding HR policies and procedures.
    • Assist in organizing employee engagement activities and events.
    • Support payroll processing by collecting and verifying attendance records.
    • Assist with the administration of employee benefits, including enrolment and changes.
    • Ensure compliance with labor laws and company policies.
    • Prepare HR-related reports, such as attendance summaries, leave balances, and training records.
    • Assist in performance appraisal processes.
    • Coordinate training sessions and maintain training records.
    • Provide general support to the HR team as needed.
MANDATORY REQUIREMENTS
  • Education:
    Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
  • Experience:
    • At least 1-2 years of experience in an HR or administrative role.
    • Extensive knowledge and hands-on experience in recruitment processes and strategies.
    • Strong understanding of learning and development principles and practices.
  • Skills and Competencies:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
    • Attention to detail and a high level of accuracy.
  • Personal Attributes:
  • Confidentiality and discretion in handling sensitive information.
  • Strong interpersonal skills and a collaborative mind set.
  • Proactive and self-motivated with the ability to work independently.
ADDED ADVANTAGE
    • Familiarity with HRIS systems is an added advantage.
